A quality system is in place, evidence of which is available for examination for a nominal fee.

You do not have to register personal information to use most of the information and services available on the website. If you choose to register for our service we will use the personally identifying information you give us to send you an email confirming your registration with the site and further emails whenever certain new company information is posted to the site. If you do not wish us to store your personal information please do not submit it to us. We use encryption, firewalls and other technology and security processes with the objective of protecting your privacy from unauthorised access and improper use and will update these measures as new technology becomes available, as appropriate. In relation to retention of data, we will keep your data in accordance with our retention policy, which is that it will remain on our servers until you ask us to remove it. We will stop using your information as soon as is reasonably possible to do so but please note that you may continue to receive material while we are updating our lists. Privacy Information Notice
  1. Why do we need to collect, use and process personal information? - As a provider of software database solutions, gCAP Software Ltd collects data to allow the user to store and recall their own data. This data is personally identifiable as it is marked with the user's unique id.

    • VAT Number
    • User ID
    • Password (encrypted)
    • Where you heard about gCAP Software
    • The data held is available to view using the online tools provided

  3. The additional information we collect, hold and process about you for AOCMS.
    • Flights taken, including timings, crew, location and specific information about how the flight was made
    • Duty periods worked
    • Checks and qualifications obtained, including date done and renewal date and supporting documentation

  4. The additional information we collect, hold and process about you for Sirocco.
    • Incident reports, including date, time, description
    • Risks
    • Compliance information including steps taken to become compliant and supporting documentation

  5. How we process your personal information.
    • To provide you and, if applicable, your employer, access to your data
    • To keep track of aggregate flight and duty data to allow users to avoid exceeding limits
    • To help users keep track of their training and qualifications and warn of upcoming expiry dates
    • The allow your organisation track incidents, risks and compliance
    • You may be contacted automatically by the system to warn or inform about upcoming issues or data that has been entered. These emails are only sent by request and the option can be turned off

  6. How we collect information.
    • Information is entered either by the user or their employer using online tools
    • Data is occasionally changed by gCAP Software personnel as a result of a direct request from the user or their employer, e.g. to update an email address.

  7. Data retention.
    • The data entered is stored for the user to access in the future. Therefore the data, including any uploaded images and documents is stored until such time as the user requests it to be deleted
    • All data can be deleted on request
    • All data is backed up daily and stored on-site, on a cloud backup server and off site in encrypted form

  8. Marketing.
    • The data entered is not used for marketing purposes, either individually or aggregated
    • We may contact you to inform you of changes such as a domain change or T&C update

  9. Security and storage of information.
    • The site is hosted on a secure server in the UK and data exchange uses SSL encryption
    • The system uses password protection and the passwords are stored in encrypted format

  10. Cookies.
    • The site uses cookies (small text files) which are stored on your local machine.
    • The cookies are used to store the id of the current user session so that you are remembered as you navigate the site
